1. Who We Are
RobotReady™ (“RobotReady,” “we,” “us,” or “our”) is a project under Women in Robotics Switzerland. We don't yet operate as a separate registered legal entity — Women in Robotics Switzerland is the responsible party for the personal data described in this Privacy Policy.
This Privacy Policy explains what personal data we collect through our website and contact form, why we collect it, how long we keep it, and what rights you have over it.
2. Scope
This policy applies to personal data we collect through:
- The contact form on our website;
- Direct email or written correspondence with us; and
- Website analytics (see Section 3.2).
If your inquiry becomes a Value Validation Stage engagement, a separate Statement of Work governs data handling for that specific project — this policy covers our website and initial contact only, not project-level data such as facility or resident information collected during an assessment.
3. What Information We Collect
3.1 Information you provide directly
When you submit our contact form, we collect:

3.2 Cookies and analytics
We use Google Analytics to understand how visitors use our website — for example, which pages are viewed, approximate location at country/city level, browser and device type, and referring website. Google Analytics does this using cookies, small files stored in your browser.
You can control or delete cookies at any time through your browser settings, and you can opt out of Google Analytics specifically using the Google Analytics Opt-out Browser Add-on. Declining cookies does not affect your ability to use our contact form or website.
4. How We Use Your Information
We use the information described above to:
- Respond to your inquiry and determine whether RobotReady is a good fit for your situation;
- Route your inquiry to the correct internal process (Facility Readiness, Robot Readiness, R&D/Lab Readiness, or general inquiry);
- Send you the Robots & Real Talk newsletter or occasional updates, but only if you've separately opted in to this;
- Maintain internal records of who we've been in contact with, for our own business administration; and
- Understand and improve how our website is used, via analytics.
We do not use your information for automated decision-making or profiling that produces legal or similarly significant effects on you.
5. Legal Basis for Processing
- Consent — for processing your contact-form submission and, separately, for sending newsletter communications and for non-essential analytics cookies.
- Legitimate interest — for basic business administration, such as maintaining a record of inquiries, where this does not override your own rights and interests.
You can withdraw consent at any time; see Section 9 (Your Rights).
6. Data Sharing
We do not sell your personal data. We share it with:
- HubSpot, our customer relationship management (CRM) platform, which stores and helps us manage inquiries and communications;
- Google Analytics, for website analytics (see Section 3.2);
- Our website hosting provider, to keep the site running;
- Professional advisors (e.g. lawyers, accountants), where necessary and under confidentiality obligations; and
- Authorities, where required by law.
Any third-party processor we use is bound by a data processing agreement consistent with the Swiss FADP and, where applicable, the GDPR.
7. International Data Transfers
We aim to keep data storage within Switzerland wherever practical. However, some of the service providers we rely on — including Google Analytics and HubSpot — are based outside Switzerland (in the United States) and may process data on servers located outside Switzerland as part of their standard global infrastructure. Where this occurs, we rely on appropriate safeguards recognized under the Swiss FADP and, where applicable, the GDPR (such as Standard Contractual Clauses) to protect your data.
8. Data Retention
We retain contact-form submissions for up to 24 months from your last contact with us, unless:
- You ask us to delete your data sooner (see Section 9); or
- A longer period is required to comply with a legal obligation or to establish, exercise, or defend legal claims.
If your inquiry becomes a Value Validation Stage engagement, data relevant to that engagement is retained per the terms of the applicable Statement of Work, not this policy.
9. Your Rights
Depending on where you're located, you have some or all of the following rights under the Swiss FADP and/or the GDPR:
- Access — request a copy of the personal data we hold about you;
- Rectification — request correction of inaccurate or incomplete data;
- Erasure — request deletion of your data, subject to any legal retention obligations;
- Restriction — request that we limit how we use your data;
- Objection — object to processing based on legitimate interest;
- Data portability — request your data in a structured, commonly used format;
- Withdraw consent — at any time, where processing is based on consent, without affecting past processing.

10. Security
We take reasonable technical and organizational measures to protect your personal data against unauthorized access, loss, or misuse. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
11. Children's Privacy
Our website and services are directed at businesses and professionals, not children. We do not knowingly collect personal data from anyone under the age of 16.
12. Changes to This Policy
We may update this Privacy Policy from time to time. The “Last updated” date at the top of this page reflects the most recent version. Material changes will be noted on our website.
13. Supervisory Authority
If you believe we have not handled your personal data in accordance with applicable law, you have the right to lodge a complaint with:
- The Federal Data Protection and Information Commissioner (FDPIC), for matters under Swiss law; or
- Your local data protection authority, if you are located in the European Economic Area and the GDPR applies to your data.
